Before & after
From manual to automatic
Manual time tracking verification is time-consuming and error-prone
- Employees often forget to log hours or book them to the wrong projects, leading to incomplete invoicing.
- Controllers spend valuable time every week checking and correcting time entries.
- Late-discovered errors lead to invoicing delays and sometimes even non-billable hours.
Proactive flagging helps prevent errors
- Compares schedules from your ERP (Exact, AFAS) with registered hours and displays discrepancies in a dashboard.
- Sends optional reminders via Teams or email for missing hours - employees can correct themselves.
- Flags significant discrepancies (for example above 15%) for review by controller or manager.
- All processing happens within the Netherlands; data never leaves the EU region, in compliance with GDPR.

What it delivers
Increase invoicing accuracy and save verification time
The agent flags discrepancies proactively, so employees can correct them before the week closes. Controllers only see significant discrepancies. Result: more accurate invoicing with less manual verification and frustration.
less manual verification
errors flagged before week-end
fewer verification issues with controllers

Frequently asked questions
Does this work with our existing time tracking software?
Yes, we integrate with all common systems like Timechimp, Toggl, Exact Globe and even Excel exports. If you log times in Exact or AFAS, we connect directly to those modules.
How does the agent detect discrepancies between schedule and actual hours?
The agent compares scheduled hours with registered hours per project and employee. Discrepancies >15% are automatically flagged. For construction projects we also link GPS data and work tickets for extra verification.
What happens if an employee forgets to log hours?
The agent sends daily reminders via Teams, Slack or WhatsApp for missing hours. On Friday afternoon a final warning comes before the week closes, so corrections are still possible.
Can we set our own variance thresholds and rules?
Yes, during setup we configure the variance percentages for each project type or department. You can also set exceptions for specific employees or projects that have variable hours.
Do we get reports on trends and recurring discrepancies?
Absolutely. The agent generates weekly and monthly dashboards with trends per employee, project and department. This lets you spot structural logging issues and provide coaching where needed.
