AI Agents for Your Business: What They Are, What They Deliver

An AI agent for your business takes over a task that comes back every week: processing invoices, preparing quotes, answering customer email. It does the work, you check what matters. Below you'll read what an AI agent is, which types exist, what it delivers for an SME and what it costs.
What is an AI agent?
An AI agent is software that carries out a task on its own: it fetches data, does the in-between steps and prepares the result. That's the difference with a chatbot. A chatbot answers one question. An agent completes a task.
An example. A quote request comes in by email. A chatbot can send a standard reply. An agent reads the request, looks up the customer and the right prices in your systems and prepares the quote. Someone on your team checks it and sends it.
That last part matters. A good agent prepares a draft by default instead of sending or booking on its own. What it may and may not do by itself, you set down up front.
Which types of AI agents are there?
| Type | What it does | What SMEs use it for |
|---|---|---|
| Task agent | Completes one task from start to finish | Purchase invoices, data entry, sorting email |
| Conversation agent | Answers questions in plain language | Customer service, internal questions |
| Process agent | Runs several steps in a row, across systems | Quotes, order processing, onboarding |
| Research agent | Searches, compares and summarises | Comparing rates, reports |
| Several agents together | Each with its own task, together one process | Work across departments |
Most SMEs start with one task agent or process agent on the work that takes the most time. Once that works, the next one follows.
What does an AI agent deliver for an SME?
Two examples from our own work:
NDK Metaal: from thirty to ten minutes per quote. First the materials and prices were put in order, then came an agent that prepares the quote lines. The sales manager checks and sends. At ten quotes a week, that went from about 20 to 7 hours a month. Read the NDK Metaal case.
Alnik Logistics: four agents after a two-week study. First we found out where the time went. Then came agents for email, quote requests to carriers, purchase invoices and picking the cheapest transport option. Read the Alnik Logistics case.
What both have in common: the gain wasn't in the agent alone, but in what came before it. Data that's right and a process that's clear.
When does an AI agent fit your business?
An agent fits if:
- there's work that comes back every week and takes time;
- the rules for it sit in someone's head and can be explained;
- the data is in systems that have an integration, such as Exact Online, AFAS, HubSpot or your mailbox.
An agent doesn't fit yet if your processes change every quarter, or if your data isn't right. An agent on messy data makes mistakes faster, not fewer. Then data in order is the first step.
How do you get an AI agent into your business?
- Pick the process. Which work takes the most time and is easiest to explain? If you don't know yet, AI discovery works it out.
- Design the agent. What it does, which systems it uses and what it may and may not do by itself.
- Build and test on your own work. The agent first runs alongside your team, which checks every result.
- Go live and hand over more step by step. What keeps going well, your team then only has to read.
A first agent is live within 2 to 4 weeks. See the AI agent project.
What does an AI agent cost?
At our company, an AI agent starts at €750 one-off excl. VAT. Integrations are listed individually in the quote. You pay hosting and maintenance monthly, from €49 and €100. If you'd rather start small, there's your first AI agent: one task, two integrations, live within 2 weeks.
Frequently asked questions
What is the difference between an AI agent and a chatbot?
A chatbot answers one question. An AI agent completes a task: it looks up data, does the in-between steps in your systems and prepares the result.
Do I need technical knowledge?
No. Your team needs to understand what the agent does and how to check its work. We do the building, connecting and managing.
Is an AI agent safe for company data?
If it's set up well, yes: the agent gets access only to what it needs, the data stays in the EU, there is a data processing agreement and a person approves what matters. See security and governance.
Which process should I tackle first?
The work that comes back every week and takes the most time, with data that's already in a system. Often that's purchase invoices, quotes or customer email. Want to know what it would deliver for you? Make your AI opportunity map.
