AI Consultancy in the Netherlands: Costs, ROI, Comparison

AI Consultancy in the Netherlands: Costs, ROI, Comparison — practical AI guide for SMEs

AI consultancy in the Netherlands costs roughly from a few thousand euros for a quick scan to tens of thousands of euros for a full implementation project. Whether it pays back depends on how many hours of repetitive work you can automate. In this guide you'll read what each type of project costs, how to work out the ROI and when outsourcing beats doing it yourself.

What does waiting with AI cost?

Every month without AI support, time stays tied up in repetitive tasks: processing emails, laying out quotes, checking invoices, drawing up rosters. How much differs per company. The sum is simple and you can do it yourself:

hours per week of repetitive work × hourly rate × 52 weeks = yearly cost of that work

Say a company spends 40 hours a week on tasks that can largely be automated, at €50 an hour. That's roughly €100,000 a year in labour costs. Even if AI takes over only part of that, it can be a serious amount. This is a worked example with assumptions, not an average for SMEs.

What does AI consultancy cost in the Netherlands?

Costs vary a lot with size and complexity. The ranges below are indications of what agencies in the market charge, not a quote.

Quick scan and strategy (roughly €1,500 to €4,000)

An AI quick scan analyses which processes are best suited to automation. You get a list of quick wins and a prioritisation based on ROI. It's a logical first step if you don't yet know where to start.

Pilot project or proof of concept (roughly €3,000 to €12,000)

A concrete pilot project, such as an AI agent that answers customer questions or automated invoice processing, shows what AI delivers in practice. The investment is manageable and the result measurable.

Full implementation project (roughly €8,000 to €40,000+)

For a broad implementation with several processes, integrations with your ERP or CRM and staff training, agencies charge roughly €8,000 to €40,000. Larger companies or complex custom solutions go above that.

Maintenance and further development (roughly €500 to €2,500 a month)

AI solutions need maintenance: updates, monitoring and extensions. Many agencies offer a retainer for that.

Watch out for hidden costs. Data migration, staff training and integration with existing systems are often not in the first quote. Ask about them explicitly.

You'll find more on what advice and delivery involve on the AI consultancy page and under AI agents.

A permanent AI employee in the Netherlands quickly costs an amount in the range of a full salary. For most SMEs that's too much, unless AI is central to your business model. An agency or network of specialists on a project basis is then more efficient: you pay for the result, not for a full-time position.

How do you work out the ROI of AI consultancy?

Start with a baseline: how many hours do you spend on the process now, and what does it cost? Without that baseline you can't show the ROI afterwards. An AI discovery gives you exactly that starting point.

Then work it out like this:

  1. Hours saved per week × hourly rate × 52 = yearly saving.
  2. Add any avoided errors and faster turnaround, but only what you can substantiate.
  3. Set the saving against the investment plus monthly running costs.

An illustrative example with assumptions: if an agent saves 12 hours a week at €50 an hour, that's €31,200 a year. If the project costs €7,500 plus running costs, the payback time is a matter of months. Your own figures will differ. Which processes lend themselves to this? Think of invoices and administration or customer service.

When is AI consultancy not the right choice yet?

AI consultancy isn't for everyone and doesn't always make sense.

When it doesn't pay off:

  • Your processes are too variable or situational. AI works best on tasks that run the same way every time.
  • You have a limited budget and little repetitive work.
  • The data in your company is a mess. AI won't solve the underlying organisational problem. Then getting your data in order is a better first step.
  • You expect an off-the-shelf solution. Custom work takes input and time from your team.

When you're ready:

  • You have at least one clear repetitive process that eats a lot of hours.
  • Management backs the change.
  • Basic data is available (customer details, order history, email archive).
  • You think in terms of return, not technology.

If you're small, don't let that put you off: even a freelancer or a small company can run an AI scan to see where the opportunities are.

Frequently asked questions

What does an AI consultant cost per hour in the Netherlands?

AI consultants generally charge roughly €95 to €175 an hour, depending on specialism and agency. For longer projects, project prices are often cheaper and give more certainty about the total budget.

How long does an average AI implementation project take?

A pilot project often takes a few weeks, a full project with several processes and integrations a few months. The lead time depends heavily on how well your data and processes are already documented.

Does my company need technical knowledge itself for an AI implementation?

No. A good AI consultant handles the technical side. You provide insight into your processes: how it works now, what goes wrong and what the result should be.

What is the difference between AI consultancy and a standalone SaaS tool?

A standalone tool solves one specific problem. Consultancy designs a broader approach: which tools fit your processes, how you connect them to existing systems and how you get your team to adopt them.

Can I get a subsidy for AI implementation?

Possibly. Schemes such as the WBSO and the MIT programme offer support for innovation under certain conditions. Whether your project qualifies differs per case and per year; check with your accountant or an adviser.

What is a logical next step?

An AI implementation doesn't have to start big. Run an AI scan to see which processes in your company pay off most, or book an intro call to talk through your situation and an honest estimate of costs.
