Connect Exact Online to ChatGPT, Claude or Copilot

Can you connect Exact Online to ChatGPT, Claude, Copilot or Gemini? Short answer: none of those four has a ready-made Exact link. With a middle layer on the Exact API it can be done, and which route works best differs per assistant. Below you can read per tool what is possible and what to watch for.

Which route works per assistant?

The assistant is the front end. Whether it works reliably depends on the middle layer: the link that fetches data, checks it and puts it back safely.

How do you connect ChatGPT to Exact Online?

ChatGPT has no official Exact connector. Two routes do work:

1. A Custom GPT with Actions. The GPT calls the Exact REST API. For that you register an app with Exact and set up OAuth.
2. A flow in n8n or Make. A new invoice in Exact starts the flow, an OpenAI step summarises, categorises or checks, and the result comes back as a draft.

For business use, choose ChatGPT Team or Enterprise. Then your bookkeeping data is not used to train models, according to the terms.

How do you connect Claude to Exact Online?

Claude talks to other systems through MCP (Model Context Protocol). With an MCP server on the Exact API you can ask Claude things like "which invoices have been open for more than 60 days?" and get the answer from your own administration. How do you connect Copilot to Exact Online?

Copilot lives in Microsoft 365 and does not know Exact by itself. The usual route is Power Automate with a connector on the Exact API. The data then lands in Excel, Teams or Dataverse, and Copilot can reach it there. If your organisation already works with Microsoft, this is the logical choice.

How do you connect Gemini to Exact Online?

For Gemini the strongest route goes through Google: you send your Exact data on to BigQuery and have Gemini or Vertex AI run analyses and forecasts on it. That is mostly interesting for reporting and forecasting on larger datasets.

Perplexity falls outside this list. It is a search tool with no integration platform, fine for market research but not for your administration.

What can an AI assistant do with your Exact data?

The five uses that come up most often:

1. Process purchase invoices. Invoices are read, categorised, linked to the purchase order and prepared as a draft booking. You approve. See what an agent does with invoices and administration.
2. See cash flow ahead. An expectation for the next 30 to 90 days, based on open items and the payment behaviour of debtors.
3. Reminders per debtor. Tone and timing per customer, prepared as a draft.
4. Deviations in bookings. Duplicate bookings, odd amounts or a wrong category, reported before the month-end close.
5. Questions in plain language. "How did our margin do in Q3 compared with Q2?", with the answer from your own figures.

What do you need to know about the Exact Online API?

All routes above run through the Exact REST API with OAuth 2.0:

• Rate limit: 60 calls per minute per app and 5,000 per day per administration
• Bulk endpoints for large datasets
• Webhooks for real-time triggers
• You register your own app in the Exact App Center. Which subscription you need for that differs per situation; check with Exact before you start.

How do you work safely with bookkeeping data?

• Store tokens encrypted.
• Never let an assistant book on its own without a person approving the draft.
• Record which data you use and why (GDPR (AVG)).
• Sign a data processing agreement with your AI supplier and choose EU hosting.
• Keep logs of what the link did.
