5 Processes SMEs Automate with AI Agents

5 Processes SMEs Automate with AI Agents — practical AI guide for SMEs

The five processes SMEs most often automate with AI agents are: invoices and accounts payable, lead handling, customer service, reporting and appointment scheduling. They are repeatable tasks with clear rules, where an agent can carry out steps in the systems you already use. Below you'll find, for each process, what the agent does, which software fits and what to watch out for.

An AI agent is not a chatbot. It carries out several steps, works with your systems (such as Exact, AFAS and HubSpot) and hands an exception to a person when it can't solve it. Want the basics first? Read what AI agents are and which types exist.

Which 5 processes are the best fit?

#ProcessWhat the agent doesSoftware (examples)
1Invoices and accounts payableReads invoices, matches them to purchase orders, prepares bookingsExact, AFAS, Moneybird
2Lead handling and CRMPuts leads in the CRM, scores them, starts the follow-upHubSpot, Salesforce, Pipedrive
3Customer serviceAnswers standard questions, creates ticketsTrengo, Zendesk, WhatsApp
4Reporting and dataPulls data from several sources and compiles reportsExact, AFAS, Power BI
5Appointment schedulingSchedules appointments, sends confirmations and remindersOutlook, Google Calendar

How long an implementation takes depends on how complex the process is, the quality of your data and the integrations available.

1. How do you automate invoices and accounts payable?

Receiving, checking, booking and paying invoices is still manual work for many SMEs. An AI agent reads invoices, matches amounts and suppliers to purchase orders, and prepares bookings or posts them in your accounting system.

The problem: typing everything in by hand takes a lot of time and causes errors, such as double payments and corrections afterwards.

The fix: the agent copes with odd invoice formats and missing details. When in doubt, it asks a follow-up question or brings in a person.

Integrations: Exact Online, AFAS, e-Boekhouden, Moneybird. The agent fetches invoice data and writes to the accounts payable module or the general ledger. You'll find more on this process under invoices and administration.

2. How do you automate lead handling and CRM updates?

New leads from forms, email or events need to get into the CRM, receive a score and be followed up quickly. The faster you reply, the better your chance of a conversation.

The problem: entering and following up by hand takes time, while opportunities slip away in the meantime.

The fix: the agent reads the source, maps the fields, spots duplicates, applies scoring rules and carries out actions in the CRM and in email.

Integrations: HubSpot, Salesforce, Pipedrive, Microsoft Dynamics, Office 365, Gmail, often together with your form or landing page tool.

3. How do you automate customer service and first-line questions?

A large share of customer questions is standard: opening hours, order status, returns policy, product information. An agent answers those questions from your knowledge base, FAQ or documents, and takes action where needed, such as fetching an order status or creating a ticket. Complex questions go to a colleague.

The problem: your people lose hours every day answering the same questions.

The fix: the agent looks in your back office, creates tickets and proposes appointments. Fewer questions reach your team, and customers wait less.

Integrations: Trengo, Zendesk, Freshdesk, HubSpot Service, email and WhatsApp. Read more about AI customer service.

4. How do you automate reporting and data synchronisation?

An agent can take over the monthly or weekly reports you compile by hand from several systems. It pulls data from your ERP, CRM or accounting software, applies fixed formats, flags outliers and delivers the report by email or dashboard.

The problem: manual reports take time and regularly contain copy errors or stale data, right when you're making decisions.

The fix: the agent combines sources, runs the calculations and adds a summary or warning when something deviates.

Integrations: Exact, AFAS, HubSpot, Power BI, Google Sheets, often through an API or an automated export. If your data is scattered or messy, start with Data op orde.

5. How do you automate appointment scheduling and calendar management?

Sign-ups for intakes, demos or maintenance have to land in the calendar, with confirmations, reminders and possibly an intake form. Every back-and-forth email about an appointment costs a few minutes, and that adds up fast.

The problem: matching availability, sending confirmations and tracking changes costs your team far more time than it should.

The fix: the agent fetches availability from calendars, books appointments, sends confirmations and handles changes, including rules such as buffers, multiple locations or multiple staff members. Reminders can reduce no-shows.

Integrations: Microsoft 365 and Outlook, Google Calendar, Calendly, optionally linked to your CRM.

Which process fits your business?

Start with the process that takes the most manual hours and where your data and systems are already reasonably in order. That gives you the quickest result and the clearest payback. Check up front what the process costs you now in hours, so you can see afterwards what it delivers.

Frequently asked questions

What is the difference between an AI agent and a chatbot?

A chatbot answers questions in a conversation. An AI agent actually carries out steps: it opens systems, reads and writes data and completes a process, for example booking an invoice or putting a lead in the CRM.

Do AI agents work with Dutch software such as Exact and AFAS?

Yes. AI agents connect through APIs to Exact Online, AFAS, HubSpot and Trengo, among others. How long it takes depends on the integrations available and whether custom work is needed.

How long does it take to automate a process?

That differs per process. A simple task such as scheduling appointments on a single calendar is done sooner than a process with approval rounds and several systems. After a scan or an intro call you'll know what to expect.

Does my company need technical knowledge to get started?

Not necessarily. You provide access to your systems and a description of your workflow. The party that builds the agent handles the technical side and shows your team how the agent works and how to steer it.
